New Feature: Rounding

We spend a lot of time to make time tracking as accurate as possible. That is why we don’t know if this is positive or negative feedback, but we decided to do something about it. “Yast is too accurate! When making a report for my client, I don’t want it to say I worked 1:58 hours. I want it to say 2:00 hours, but I still want to keep the 1:58 for my personal records”. We got good news. It can be done!

Rounding feature

It works like this. In the report tab under “standard report”, you will find the option “Rounding”. Click it, and it will reveal 3 options:

– No rounding
– Round all records
– Round total

No rounding:

By default, this is set to “no rounding” so the report is your accurate timesheet.

Round all records

Choosing this option will reveal two more options, and you can choose to round all time records up or down to the nearest 5,6,10,15,30 or 60 minutes. In the report, all time records will change their end time to get a rounded duration.

Example: If you have these time records:

8.21 – 8.30: Comment 0:09 hours
9.00 – 9.16: Comment 0:16 hours
10.02 – 11.18: Comment 1:16 hours
Sum: 1:41 hours

You choose round UP to nearest 15 min, and then your report will look like this:
8.21 – 8.36: Comment 0:15 hours
9.00 – 9.30: Comment 0:30 hours
10.02 – 11.32: Comment 1:30 hours
Sum: 2:00 hours

Note that the total sum has changed with more than 15 minutes, because each time record has been rounded up. If you bill by the hour, you may have agreements that you can charge 15 minutes every time you do anything for the client, but often you might just want the report to look good and keep the total as close to it’s original sum. For that purpose, you can choose the last option.

Round total:

Choosing this option will make Yast round the total up or down as chosen in the revealed options, and then change your time records to fit this as good as possible into your new total. With this setting and by choosing “round UP to nearest 15 min”, the example above would generate this result:

8.21 – 8.36: Comment 0:15 hours
9.00 – 9.15: Comment 0:15 hours
10.02 – 11.17: Comment 1:15 hours
Sum: 1:45 hours

Note that the total has only changed 3 minutes because one time record increased its duration while the two others decreased. Yast will try to make your time records as close as possible to their original value. Be aware that this is an automated process, and we advice you to have a close look through your timesheet to control check.

NOTE: This method may result in short lasting records to be listed as 0:00 hours. If you are uncomfortable with sending this to your client, we strongly advice you to have a close look through the timesheet before sending it.

It’s important to understand that this is only a report option. It does not change any of your time records permanently.
