Time Tracking and Management Advice for Entrepreneurs


Running a small business is no easy feat. Small business owners are in charge of every decision about their company’s future. This includes the big picture, as well as all of those little things that keep the company running from day to day. Because the solo entrepreneur and small business owner needs to tackle so many different responsibilities, time management becomes a key element of success. Knowing a few tips and tricks to get a handle on time can come in very handy, so let’s look at some of the best and simplest you can implement right now.

Creating a List

First, many successful entrepreneurs will tell you that having a list is one of the very best and simplest things that you can do. Creating a list, and prioritizing the items on the list from most to least important, is a good way to stay on track.

When you create a list, it allows you to organize your thoughts and to determine the importance of each task. Once you have your initial list of all things you need to do for the day, take a moment to go over the list once more and to rearrange it in order from most to least important.

Ideally, you will create one of these lists each day, and you will do it at the same time each day so you can get into the habit. Even if the workday consists of the same thing 90% of the time, having your list really can help, especially for those days when “something crazy” happens. You can simply rework and amend your priorities for the day.

Keep Track of Where You Spend Your Time

Even if you don’t have time tracking software right now, you still need to be aware of where all of your time is going through the day. You can keep a journal of time you are spending on different tasks throughout the day. To make this as accurate as possible, it’s a good idea to keep track of everything you do during the day, including your downtime. This includes things such as break time, time checking and responding to email, and more. You may find that you are spending more time doing wasteful things such as sitting on Facebook than you realize.

If you have meetings with clients, whether in person or on the phone, track how long these take as well. Then, look at ways that you can cut down on the amount of time you are spending in those meetings. We’ll talk more about meetings in the next section.

Once you see just how much time you are wasting each day, you can start to make changes in order to improve your productivity.

Meetings

One of the activities that seems to take up the most time for independent contractors and entrepreneurs is meetings. Meeting with clients and customers in their home or office, or yours, can take up a large portion of your day. You cannot ignore meetings, but you also do not have to let them linger on longer than you should. Here are some ways to help you cut down on the meeting time.

First, if you can have a phone or web meeting, that’s often better for both you and the other party. It does not require travel time. Second, the meeting should always have a goal before you start. Know what you need to do, say, or accomplish. Get into the meeting, make the point, and take and ask questions as needed. Streamlining the meeting can help you save a substantial amount of time each day. Third, try to cut down on the number of meetings if you can. This is easier if you are the one holding meetings with your employees.

Learn to Delegate

Sometimes you simply do not have enough time in the day to accomplish what you need, even when you take measures to improve your time management skills. Work can get overwhelming, and if you try to do everything on your own, you could fall behind. It could affect the bottom line of your business. If you have other employees, then you need to learn to delegate some of the tasks to make things easier on you. It’s not easy to delegate when you have always been the one in charge of things, but it could be essential.

Start out small and give other employees some of the other, less urgent tasks on your list. For example, if you are spending an hour on social media every day for your business, this could be a good area where you can delegate the responsibilities. Choose someone who understands your brand well, and who knows your company’s position, so they can post and answer questions in line with the company. This can save you a substantial amount of time each day, and then you can put that time into all of the other important activities.

In those cases, when you don’t have any other employees, you still don’t have to take on the world alone. You can always outsource. You can have someone help with creating content for your sites, or they can help with accounting, and take care of many of the mundane tasks. When you outsource to freelancers, you do not have to worry about putting them on your payroll, as they are independent contractors.

Embrace New Technology

Technology is both good and bad. When you misuse it, such as spending hours a day surfing the web when you should be working, it will damage your business. However, proper implementation of technology can work wonders. Getting time tracking software for example, can make it nice and easy for you to track exactly where you are spending your time.

Being a business owner is difficult no matter the size of the business. When you feel that it’s just all too much, put the advice in this article into play. Take a step back, collect your thoughts, and face one problem at a time. You can do it.
