Why Should You Track Your Time?


Many people feel that they simply have too much on their plate when it comes to their workload and all of the projects they  want to tackle. They try multitasking and eventually find that they simply can’t concentrate and focus on the tasks, which will  result in the quality of the projects suffering. This happens to many people, from those who are looking to start a new business  and find themselves overwhelmed with all of the tasks, creative people who are trying to find time to write a novel, small  businesspeople, and more. Managing time is hard for nearly everyone without the right tools.

Fortunately, technology is finally catching up to the needs of those in today’s world. Time tracking software is a way for anyone  to start getting better control of his or her life and how they spend their time. It offers a number of benefits.

Know Where You Are Spending Time

First, you will be able to use the tracker to determine where you are spending the majority of your time now. If you are trying  to multitask, for example, you can see just how much time you are spending on each project. It might be taking you longer  than you think, thus slowing down your overall progress. You may benefit from working with a single project at a time.

Before you try to make any changes to your time expenditure, you should first track your normal days. Do this for at least a week or two in order to see where you are spending time. With most of the available tools and software, you will have the ability to track a number of different tasks with the help of a virtual stopwatch tool. Click the timer when you start and click again when you are distracted or when you are changing tasks.

At the end of your tracking experiment, you will have a good idea of what issues you have when it comes to wasted time. You can also see if you are spending more time than you should on certain tasks.

Make a list of the things that are distracting and wasting your time and see if any of them are important. Checking your email and working on social networking sites can be important for your business, but you have to be careful of how much time you spend on those sites.

In general, you can spend just an hour a day – perhaps half an hour in the morning and half an hour in the evening – to do everything you need on those sites. It should not take long to answer most emails, and you should be able to handle your social media needs in that allotted time.

Think about how much time you spend throughout the day surfing the web and looking at photos or videos, even if it is only five minutes here and there. Many people spend upwards of an hour or more a day while they are at work surfing the web. It is a productivity drain. Be sure to stay away from those activities, and surfing the net, during the day.

Getting those things under control can save you quite a bit of time each day, and you will soon find that the rest of your day becomes more productive. However, in order for this experiment to work so you can move on to the next step, you have to be honest. Do not lie to yourself about how often you check the email or get distracted. Remember to use the tracker too, so you aren’t misrepresenting how much time you spend on different activities.

Create a New Plan

Once you have some data from your tracker, you can reevaluate what you are doing and how you are spending your time. This lets you shift your focus to the things that are the most important, making it easier to prioritize your schedule. You can learn quite a few things for the tracking software. For example, you can learn which hours of the day you are the most productive, allowing you to start scheduling the most important projects for you during those hours.

If you see that you are switching from task to task too often, you can use the tracker to keep your focus on just one project so you can finish it more quickly and more efficiently. You can gain hours per day by cutting out the unimportant tasks, which allows you to spend more time on the important projects and to become more productive. As you finish more tasks in the day, you can find more hours to add new projects, or even to take some time away from work if you need.

Try Tracking Your Time

Tracking your time can provide you with quite a few benefits, but you need to make sure you are dedicated to it. The trackers only work when you actually put them to use. With all of the high quality tools out there today, there is no excuse not to at least try time tracking. Do it for a couple of weeks to see where your problems are, create a new plan and track your time so you are accountable for following your new plan. At the end of thirty or sixty days, you can evaluate how things are going.

It’s a good idea to use a tool that offers both a desktop and a mobile app. The reason for this is simple – you are not always at your desk, but you probably have your phone with you or near you most of the time. You can start and stop activities from the mobile app and synchronize it with the desktop, so you are always on top of your time.

With all of the benefits that come from tracking time, there is no excuse not to start tracking. When you get your time expenditure under control, it can really help to make your life much easier, and you will find time you did not even know you were wasting.
